Jerome Track and Field Booster Meeting
March 2, 2022

President’s Report:
Tom opened the meeting with his resignation effective immediately. Tom recommended Vanessa as his replacement as Booster Board president. Vanessa agreed to step into the role of president effective immediately, and Tom agreed to help support as needed.
Open Board Positions:
We have two immediate open board positions: Vice President and Meet Director.
Parent Participation:
We currently have 133 student athletes registered. We are expecting 200 or more.
Due to the high number, we need more parent involvement, and more parent volunteers. Jay suggested that we look for a parent representative for the Freshman athletes. He recommended that a parent volunteer coordinate and organize the Smoothie night/Kona ice night.
We discussed having a volunteer representative for each grade level. This volunteer would be the one who communicates with other track parents at that grade level.
A Freshman Parent Representative can organize the Smoothie Night as well as communicating with Freshman Track parents.
A Sophomore Parent Representative can organize the Pasta Night as well as communicating with Sophomore Track parents.
A Junior Parent Representative can plan and organize the Senior Recognition awards as well as communicating with Junior parents.
A Senior Parent Representative will communicate with other Senior parents as necessary.
Parents of the following student athletes will be reached out to, asking for their help with our booster program: Emma Gates (Freshman), Jaden Graham (Sophomore), Sam Richiuti (Sophomore), Ben Lam (Sophomore), Chloe Friedman (Sophomore), Brooke Carpenter (Junior), Peter Holleran (Junior), and Avery Korb (Senior).
We will also be looking for a parent volunteer to take care of business development and fundraising activities for future seasons.
We discussed having a booster meeting next week with parents, specifically to let them know that we need their help and specifically where it is needed, including the two board positions. A date and time for that meeting was not set yet.
Treasurer’s Report:
We currently have $25,718.97 currently, after 45% of booster dues have been paid and collected.
Jay mentioned that out of the 133 registered, 83 have paid booster dues.
During the meeting, uniforms were added to the budget. For the female athletes, 20 jerseys at $31 were added. For the male athletes, 25 jerseys at $26 each were added. These would be Holloway Jerseys.
We have a $700 credit from Aries.
The pasta night budget was increased from $1300 to $1700. Coach Randi mentioned that pasta night is usually catered and held in the gym; parent volunteers will serve the athletes. This is how it was done prior to the 2020 pandemic.
Coaches’ Report:
This year we have a large number of seniors compared to last year. Approximately 14 senior female athletes and up to 29 senior male athletes.
Nicole’s boys are both Juniors, so she will take over the purchase and coordination of Senior gifts for this 2022 season. She will follow up with the coaches this week, to ask them to try to get a more accurate number of how many seniors are sure to stick with track this season. Nicole will contact Dan and get an order placed asap for senior gifts.
Vanessa confirmed with Coach Randi that the meets are all finalized for the Spring season.
Coach Kalvin will be reaching out to Alex about electronic timing for the scrimmage (time trials?) to see if he will continue to do this for us at no charge, and if there is a charge what that will be. Possibly the Boosters will pay for this fee.
Electronic timing for our 3 home meets are all covered by Jerome athletic department.
No date was set for the next Booster Meeting.

Coaches and Boosters’ Initial Planning Meeting for the 2022 Spring Season

President’s Report:
Tom inquired about the interest for the Spring 2022 Season. Coach Randi and Coach Kalvin reported that we have approximately 137 male students interested and 109 female students interested.
Coach Kalvin stated that this year we will have split teams: JVA and JVB. JVB team will compete only at the two home meets. Some students don’t even want to be on the JVB; they simply want to participate at practices for their own fitness or to be a part of the team. This year there will not be tryouts. Everyone makes the team; no cuts!
Open Board Positions:
Rod, last year’s Meet Director, is no longer able to serve. The Meet Director is an immediate open position.
Also, Tom’s step-daughter may not be participating in track this spring, and Jerry’s daughter is a Senior, so we will need a new President possibly this year, and next year, a new treasurer.
It was discussed that there are a few possible replacements that the coaches have in mind.
Coaches will reach out to a few of those parents whom they know.
No coaching staff updates were announced or discussed at this time.
Expectations for the 2022 Season:
Parent meeting to be prior to the season starting. It will be held the week before the team meetings. Later in the board meeting, the date was decided for the parent meeting: Wednesday, February 16th. At this meeting, the immediate need for board members will be discussed with parents. Dues will also be collected at this meeting. Dues may be raised this year. Tom and Jay will discuss by how much.
Treasurer’s Report:
Jay shared that we broke even last year.
We currently have $17,835.18 in our account. That is after Field Sports had already been paid for the use of their space for winter conditioning.
We will need to raise booster dues to cover the cost of indoor winter conditioning. It was discussed that dues may go up by as much as $15 per athlete.
Coaches’ Report:
Coaches Kalvin and Randi stated that the indoor conditioning has been very beneficial to the team. They’ve had between 30-40 student athletes consistently participating in the conditioning, and it’s been extremely beneficial.
Lifting on Wednesday and Friday includes the distance runners but the conditioning does not.
We have no uniform piece in our budget this year. Randi stated that our providers currently have no uniform supplies.
Randi will send out the 2022 schedule.
Coaches’ Report:
Randi shared that at the Parent meeting they will also discuss the role of booster dues and parent involvement, and how these funds assist the coaching staff with team building and allow the team to have fun events to look forward to such as the Smoothie Night, Senior Recognition, and the Pasta Night.
Smoothie Night may switch to Kona Ice Night instead. Smoothie Night (which hasn’t been able to happen the past 2 seasons due to COVID) required a lot more parent volunteers, donations, and the use of parents’ blenders. So having Kona Ice may be more desirable and easier on everyone.
Randi suggested, in regards to Uniforms, that in the fall or before Christmas, that there be a store (online) where students can buy a uniform jersey for the spring track season. And they can keep the jersey for all 4 seasons. This would be optional.
Items discussed to add to Spring Schedule:
The following dates will be added by Randi to the spring track schedule: Parent Meeting, Wednesday, 2/16, Class Meetings, Tuesday-Friday, 2/22-2/25, Smoothie Night on Thursday, 4/14, Senior Recognition on Monday, 4/25, and Pasta Night on Tuesday, 4/26.
We did not set a date for the next meeting, but we did discuss possibly having a brief meeting prior to the Parent Meeting on February 16th.
